15. LEGAL BASES FOR PROCESSING

Where applicable law requires us to identify a legal basis for processing personal information, we may rely on one or more of the following:

  • performance of a contract with you;

  • taking steps at your request before entering into a contract;

  • compliance with legal obligations;

  • protection of vital interests or other lawful grounds recognised by applicable law.

The appropriate legal basis may depend on the type of information and the purpose for which it is processed.

Where we rely on consent, you may withdraw consent where permitted by law. Withdrawal of consent does not necessarily affect processing that occurred before withdrawal.

16. HOW WE SHARE PERSONAL INFORMATION

We do not sell or rent personal information as a business practice.

We may disclose or provide access to personal information in the following circumstances.

16.1 Service Providers

We may use third-party service providers to operate House of Weddings.

These may include providers of:

  • SMS;

  • messaging;

  • email;

  • analytics;

  • security;

  • fraud prevention;

  • customer support;

  • artificial intelligence;

  • infrastructure;

  • monitoring; and

  • other technical services.

These providers may process information on our behalf and may only receive information reasonably necessary for the services they provide.

The providers we use may change over time.

17. INFORMATION SHARED WITH COUPLES AND WEDDING ADMINISTRATORS

House of Weddings is designed to allow Couples and authorised wedding administrators to manage information relating to their Wedding Page.

Depending on the feature being used, the Couple or authorised administrator may be able to access:

  • Wedding Page information;

  • RSVP information;

  • guest names;

  • attendance information;

  • Gift information;

  • Gift messages;

  • wedding-related communications; and

  • other information submitted to the Wedding Page.

The Couple is responsible for how they use information available to them through the Service, subject to applicable law.

If you provide information directly to a Couple, including through RSVP functionality, you should understand that House of Weddings is providing the technical platform through which that information is made available to the Couple.

18. INFORMATION SHARED WITH VENDORS

House of Weddings may facilitate interactions between Couples and wedding-related Vendors.

Where necessary to provide a requested service, we may share relevant information with a Vendor.

For example, this may include contact information or wedding details necessary to respond to an enquiry.

Vendors may have their own privacy policies and data-handling practices.

You should review the Vendor's applicable privacy information before providing additional personal information directly to the Vendor.

19. LEGAL DISCLOSURES

We may disclose personal information where reasonably necessary to:

  • comply with a law or legal obligation;

  • comply with a court order;

  • respond to a lawful government request;

  • investigate suspected fraud or criminal activity;

  • enforce our agreements;

  • protect our rights or property;

  • protect users or other persons;

  • prevent harm;

  • investigate security incidents; or

  • establish, exercise, or defend legal claims.

Where legally permitted, we may take reasonable steps to notify affected users of legally significant disclosures.

20. BUSINESS TRANSFERS

If AMGap Tech Limited or substantially all of its assets are acquired, merged, reorganised, financed, transferred, or otherwise involved in a business transaction, personal information may be transferred as part of that transaction.

Any successor entity may be required to continue handling information in accordance with applicable law and applicable privacy commitments.

21. INTERNATIONAL DATA PROCESSING

House of Weddings may use service providers or infrastructure located outside Ghana.

As a result, personal information may be processed or stored in countries other than the country in which you live.

Where applicable law imposes requirements concerning international transfers of personal information, we will seek to implement appropriate safeguards or rely on another lawful transfer mechanism.

By using the Service internationally, you acknowledge that your information may be processed in jurisdictions where our service providers operate, subject to applicable law.

22. DATA SECURITY

We implement reasonable technical, organisational, and administrative safeguards designed to protect personal information against:

  • unauthorised access;

  • unauthorised disclosure;

  • alteration;

  • destruction;

  • loss;

  • misuse; and

  • other unlawful or unauthorised processing.

Security measures may include access controls, authentication mechanisms, encryption or secure transmission where appropriate, monitoring, backups, logging, and other safeguards.

However, no online service, electronic storage system, network, or method of transmission can be guaranteed to be completely secure.

Accordingly, while we take security seriously, we cannot guarantee that personal information will never be accessed, disclosed, altered, lost, or compromised.

23. ACCOUNT SECURITY

You are responsible for maintaining the confidentiality of your account credentials and for taking reasonable precautions to protect your account.

You should:

  • use an appropriately secure password;

  • avoid sharing account credentials;

  • secure your devices;

  • use available security features;

  • log out from shared devices; and

  • promptly notify us of suspected unauthorised access.

Where a Wedding Page has multiple authorised administrators, each administrator may have access to information and functions according to their assigned permissions.

24. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer period is required or permitted by applicable law.

Retention periods may depend on:

  • the type of information;

  • the purpose for which it was collected;

  • whether your account remains active;

  • whether a Wedding Page remains active;

  • the package or service associated with the Wedding Page;

  • payment and financial recordkeeping requirements;

  • fraud and security requirements;

  • legal obligations;

  • dispute resolution;

  • enforcement of agreements; and

  • technical backup requirements.

Different categories of information may therefore be retained for different periods.

25. DELETION OF ACCOUNTS AND WEDDING PAGES

You may request deletion of your account, subject to applicable law and the operation of the Service.

Depending on the applicable package, Wedding Page status, and retention requirements, deletion may result in the removal or eventual deletion of associated content.

Information may not always be deleted immediately.

We may retain information where reasonably necessary for:

  • legal compliance;

  • accounting or financial records;

  • fraud prevention;

  • security;

  • dispute resolution;

  • enforcement of agreements;

  • legitimate business records; or

  • other purposes permitted by applicable law.

Backups and technical copies may also remain for a limited period before being overwritten or securely deleted in accordance with our retention practices.

26. RSVP DATA RETENTION

RSVP information may be retained according to the applicable Wedding Page, account, package, and operational retention requirements.

Because RSVP information is collected in connection with a particular wedding, deletion or expiration of the relevant Wedding Page may affect the availability of RSVP information.

Couples are responsible for managing RSVP information available to them and should export or otherwise retain information they reasonably need before deleting or allowing a Wedding Page to expire.

Applicable legal rights concerning personal information remain subject to the laws governing the relevant individual and processing activity.

27. YOUR PRIVACY RIGHTS

Depending on your location and applicable law, you may have rights concerning your personal information.

These may include the right to:

  • request access to personal information we hold about you;

  • request correction of inaccurate or incomplete information;

  • request deletion or erasure;

  • request restriction of certain processing;

  • object to certain processing;

  • withdraw consent where processing is based on consent;

  • request information about how your information is processed;

  • request a copy of certain information in a portable format;

  • opt out of certain marketing communications; and

  • lodge a complaint with a relevant data protection or supervisory authority.

These rights are not absolute and may be subject to legal exceptions, limitations, or verification requirements.

For example, we may need to retain certain information to comply with law, prevent fraud, establish legal claims, or maintain financial records.

28. HOW TO EXERCISE YOUR RIGHTS

To make a privacy request, contact:

support@houseofweddings.online

Please provide enough information for us to understand your request and verify that you are the person to whom the information relates.

We may request reasonable additional information to verify your identity before responding to certain requests.

We will process valid requests within the time required by applicable law.

29. MARKETING COMMUNICATIONS

We may send promotional or marketing communications where permitted by law and where appropriate.

These may include:

  • email;

  • SMS;

  • messaging services;

  • notifications; or

  • other electronic communications.

You may opt out of promotional communications using the unsubscribe mechanism provided or by contacting us.

Opting out of marketing communications does not necessarily stop important service communications, including security alerts, transaction notifications, account notices, and legal notices.

30. COMMUNICATIONS AND MESSAGING

House of Weddings may use third-party communication infrastructure to deliver:

  • verification messages;

  • OTPs;

  • account notifications;

  • RSVP notifications;

  • Gift notifications;

  • withdrawal notifications;

  • support communications;

  • marketing messages where permitted; and

  • other service-related communications.

We may retain communication metadata and delivery information for security, troubleshooting, auditing, and service operation.

31. ARTIFICIAL INTELLIGENCE AND AUTOMATED PROCESSING

House of Weddings may use artificial intelligence or automated systems to support certain features.

These may include:

  • content assistance;

  • recommendations;

  • search;

  • categorisation;

  • moderation;

  • fraud detection;

  • customer support;

  • analytics;

  • personalisation;

  • content processing; and

  • other Service functionality.

Where information is processed by an AI or automated service provider, we seek to provide only information reasonably necessary for the relevant purpose and to apply appropriate contractual, technical, or organisational safeguards where appropriate.

AI systems may produce inaccurate, incomplete, or inappropriate results.

We do not represent that AI-generated outputs are always accurate or suitable for a particular purpose.

Where appropriate, users should review AI-assisted outputs before relying on or publishing them.

32. ANALYTICS AND SERVICE IMPROVEMENT

We may use analytics and similar technologies to understand how the Service is used.

This may include analysing:

  • pages visited;

  • features used;

  • session duration;

  • device and browser information;

  • technical errors;

  • traffic sources;

  • general usage patterns; and

  • performance information.

We use this information to improve reliability, functionality, user experience, security, and product development.

Where reasonably possible, analytics information may be aggregated or otherwise processed so that it is not directly associated with an individual.

33. PUBLIC AND SHARED INFORMATION

Certain information that you intentionally place on a Wedding Page may be displayed to persons who have access to that Wedding Page or otherwise receive the relevant wedding link or invitation.

You should carefully consider what information you publish.

Do not publish:

  • passwords;

  • authentication codes;

  • payment-card details;

  • banking credentials;

  • private access tokens;

  • confidential business information;

  • government identification numbers; or

  • other highly sensitive information.

House of Weddings may restrict, remove, or block content or links that create security, privacy, legal, or operational risks.

34. SOCIAL MEDIA AND EXTERNAL LINKS

Users may be able to add links to social-media profiles, websites, maps, vendor pages, or other external resources.

House of Weddings is not responsible for the privacy practices or security of external websites or services.

When you follow an external link, the external service's own terms and privacy policy may apply.

You should not publish private authentication links, access tokens, passwords, or other credentials through a Wedding Page.

35. THIRD-PARTY SERVICES

House of Weddings depends on third-party services to provide portions of its functionality.

These may include payment, hosting, storage, communication, analytics, security, AI, authentication, and other technology providers.

These providers may process personal information according to their own contractual arrangements and applicable privacy obligations.

Third-party providers may change over time as our technology and operations develop.

Where appropriate, this Privacy Policy may be supplemented by additional privacy notices relating to particular third-party services.

36. DATA RELATING TO PAYMENTS AND WITHDRAWALS

Financial and transaction information may be retained for periods necessary to:

  • reconcile transactions;

  • administer withdrawals;

  • investigate disputes;

  • prevent fraud;

  • respond to chargebacks;

  • comply with financial or legal requirements;

  • maintain accounting records; and

  • protect the integrity of the Service.

Even after account deletion, certain transaction records may therefore need to be retained.

37. FRAUD, ABUSE AND SECURITY INVESTIGATIONS

Where we reasonably suspect fraud, abuse, account compromise, unauthorised access, payment fraud, money laundering, or other prohibited activity, we may process information necessary to investigate and respond.

This may include comparing information across transactions, accounts, devices, IP addresses, payment activity, and other relevant records.

We may restrict access, suspend accounts, hold transactions, cancel withdrawals, or take other protective measures where reasonably necessary.

Where required or permitted by law, we may disclose relevant information to law-enforcement agencies, regulators, payment providers, financial institutions, or other appropriate parties.

38. USER-GENERATED CONTENT AND PRIVACY

House of Weddings provides tools for users to publish and share wedding information.

If you upload personal information concerning another person, you are responsible for ensuring that the disclosure is lawful and appropriate.

For example, before publishing a photograph of a guest, child, family member, or other person, you should consider whether you have the necessary permission or other lawful basis.

House of Weddings is not responsible for a user's decision to publish personal information that the user was authorised to control but that another person reasonably expected to remain private.

39. COUPLES AS DATA CONTROLLERS OR RESPONSIBLE USERS

Where a Couple independently collects and manages guest information through their Wedding Page, the Couple may have independent responsibilities concerning that information under applicable privacy and data-protection laws.

House of Weddings provides the technical infrastructure for managing the information but does not necessarily determine the Couple's independent purposes for collecting or using all guest information.

Couples should collect only information reasonably necessary for their wedding and should handle guest information responsibly.

40. DATA ACCURACY

We seek to maintain accurate personal information where reasonably practicable.

However, information entered by users may be incomplete, outdated, or incorrect.

You are responsible for keeping your account information accurate and updating information when necessary.

If you identify inaccurate information held by us, you may contact us at support@houseofweddings.online.

41. DATA BREACHES AND SECURITY INCIDENTS

If we become aware of a security incident involving personal information, we will assess the incident and take reasonable steps appropriate to the circumstances.

Where applicable law requires notification to individuals, regulators, or other authorities, we will make such notifications within the applicable legal requirements.

We may also take measures including:

  • containing the incident;

  • investigating the cause;

  • securing affected systems;

  • resetting credentials;

  • restricting access;

  • cooperating with service providers; and

  • implementing additional safeguards.

42. DO NOT SUBMIT UNNECESSARY SENSITIVE INFORMATION

House of Weddings is not intended to collect unnecessary sensitive personal information.

Unless specifically requested through an appropriate feature, you should not submit:

  • passwords;

  • financial-account credentials;

  • government identification numbers;

  • health information;

  • biometric information;

  • highly sensitive family information;

  • confidential business information; or

  • other information that is not reasonably necessary for the Service.

If you voluntarily submit such information, it may be processed as part of your content and may not receive the protections applicable to information that the Service specifically requests.

43. PRIVACY OF PAYMENT RECIPIENTS

Where a Couple receives monetary Gifts, information necessary to facilitate withdrawals may be processed.

This may include information such as:

  • recipient name;

  • account details;

  • mobile-money details;

  • bank details;

  • verification information;

  • transaction information; and

  • withdrawal history.

This information may be shared with relevant payment or financial service providers where necessary to process the withdrawal.

44. CHILDREN'S PRIVACY

House of Weddings is an 18+ service.

We do not knowingly permit children under 18 to create or independently operate accounts.

If information concerning a child appears on a Wedding Page because a Couple or guest uploaded a photograph, name, or other wedding-related content, the person who uploaded the content is responsible for ensuring that they have the necessary permission or lawful basis to publish it.

45. PRIVACY REQUESTS CONCERNING RSVP INFORMATION

If you have submitted RSVP information to a Couple, the Couple may control or manage that information through the Wedding Page.

You may contact House of Weddings concerning your personal information at support@houseofweddings.online.

Depending on the circumstances, we may:

  • assist with the request;

  • refer the request to the relevant Couple;

  • process the request ourselves;

  • restrict access; or

  • take another action required or permitted by applicable law.

This does not remove any privacy rights you may have under applicable law.

46. DATA RETENTION AFTER ACCOUNT CLOSURE

Closing or deleting an account does not necessarily result in the immediate deletion of every record associated with that account.

We may retain information where reasonably necessary for:

  • legal compliance;

  • fraud prevention;

  • financial records;

  • security;

  • dispute resolution;

  • enforcement of agreements;

  • backup and disaster recovery;

  • regulatory requirements; or

  • legitimate business purposes permitted by law.

When information is no longer required, we may delete it, anonymise it, or otherwise securely dispose of it.

47. ANONYMISED AND AGGREGATED INFORMATION

We may create aggregated, statistical, or anonymised information from information collected through the Service.

Where information has been appropriately anonymised so that it can no longer reasonably identify an individual, it may be used for purposes including:

  • analytics;

  • research;

  • service improvement;

  • business planning;

  • product development;

  • reporting; and

  • marketing analysis.

Anonymised information is not treated as personal information to the extent permitted by applicable law.

48. MARKETING, PORTFOLIO AND PROMOTIONAL USE

House of Weddings may, subject to applicable permissions and law, display Wedding Pages, wedding-related content, testimonials, screenshots, photographs, or other Service content for promotional, portfolio, demonstration, or marketing purposes.

Where we intend to use content in a manner requiring a specific consent under applicable law, we will seek that consent where required.

Users should not upload content to the Service if they do not have the necessary rights or permissions for the intended use.

49. YOUR RESPONSIBILITY FOR SHARED INFORMATION

You are responsible for considering what information you choose to make available through a Wedding Page.

Before publishing information, you should consider whether it reveals:

  • home addresses;

  • private telephone numbers;

  • personal email addresses;

  • travel plans;

  • financial information;

  • private family information;

  • security-sensitive information; or

  • other information that you do not want broadly accessible.

House of Weddings cannot control how recipients may subsequently copy, screenshot, save, redistribute, or otherwise use information that you intentionally make available to them.

50. DATA PROTECTION COMPLAINTS

If you have concerns about our handling of personal information, please contact us first at:

support@houseofweddings.online

We will review privacy complaints and take reasonable steps to investigate and respond.

Depending on your jurisdiction, you may also have the right to lodge a complaint with the relevant data-protection or supervisory authority.

51. PRIVACY OF BUSINESS AND VENDOR INFORMATION

Information relating to Vendors, businesses, and wedding service providers may include business names, contact information, pricing, descriptions, photographs, business locations, social-media links, and other business-related information.

Where such information relates to identifiable individuals, it may constitute personal information and will be handled in accordance with applicable law.

52. DATA USED FOR SECURITY AND SERVICE INTEGRITY

We may process information to maintain the integrity of House of Weddings.

This includes detecting:

  • automated abuse;

  • spam;

  • malicious activity;

  • account takeover;

  • fraudulent transactions;

  • fake accounts;

  • prohibited content;

  • suspicious login activity;

  • unauthorised access; and

  • attempts to interfere with the Service.

Security-related processing may continue even where an account is inactive or has been deleted if necessary for legitimate security or legal purposes.

53. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time.

Changes may be made to reflect:

  • changes to the Service;
